User Validation is a special listing that prevents new hire duplicates, and ensures that your headcount is accurate. There are two ways to validate a user: through the multi-check option and merging users. If your company uses the automatic HR import option with Manager, you may use Validation if you need to train someone before their information is processed from your HR payroll feed.
Users Added in Player
- The validation process begins in Player when a New User is added in the Enrollment screen.
- When a new user is added, the user is uploaded to Validate users(Player) in Manager on the next download or after completing a course.
Check Validation
The steps below begin after an upload from Alchemy Player has been completed or the user completes a course. Silver + administrators can validate users.
- Log in to your Manager website as a supervisor.
- Access the Users category.
- Select Validate users(Player).
- Select the box(es) of the user(s) that need to be validated.
- Click Approve.
Merging Users in Validate Users(Player)
Viewing similar and merging users within the Validate Users (Player) section of Manager is an option for those with Silver + Access in Manager.
Note: Silver + administrators can merge users within this section of Manager only. Confirm no duplicate users reside in the User listing before validating a User.
- Click on the name or user ID in the User Validation list.
- At the top, you will see if there are similar users. Click View Similar to review the information.*
- You will be asked if the pending user can be deleted after merging with the user already in the User Listing. If there are multiple similar users, select which user to merge with.
- Click Merge.
- Confirm you want to merge the pending user with the permanent user.
Merging Duplicate Users in User Listing
Merging users is an option for those with Platinum Access in Manager. If you have duplicate users that are in your User Listing follow the steps below to merge the users. This does not include similar users that are in Validate Users(Player). To merge similar users that are in Validate Users(Player), follow the steps above.
- In User Listing, click on the name or user ID of the user that you want to keep.
- At the top, you will see if there are similar users. Click View Similar to review the information.
- You will be asked if the duplicate user can be deleted after merging with the current user. If there are multiple similar users, select which user to merge with.
- Click Merge.
- Confirm you want to merge the duplicate user with the current user.
If you believe a similar user exists but is not listed in the top section:
- Verify the spelling of the user’s name in the Validation record and edit if incorrect.
- Another issue that could prevent a similar user from appearing is that the name is associated with a different Worksite; contact the Support Team to transfer the user before you Validate.
