Dynamic Groups: Use and Creation
What is a Dynamic Group?
A Dynamic Group is an automatically updating group of users based on rule-based conditions using user attributes such as Job Title, Worksite, Department, Location, etc. It eliminates the need for manual group updates.
How is a Dynamic Group different from a Corporate or System Group?
A Dynamic Group requires less maintenance and manual updates. Visit the article Types of Groups for more information on the three different groups in Manager.
Can I combine multiple classifications in one Dynamic Group? If so, what classifications are avaialble?
Yes. You can build rules using AND/OR logic to combine multiple attributes (e.g., Job Title = Supervisor AND Worksite = Dallas). You can use any synced classification like Job Title, Worksite, Department, Location, Pay Type, Date of Hire, and more.
What happens if user data changes after a Dynamic Group is used for assignment?
The group automatically updates, and all related assignments are adjusted in real-time. As long as the data is synced to the system (via HRIS or manual updates), the Dynamic Group will reflect changes automatically.
Is there a recommended best practice for how many classifications a dynamic group can have?
There are currently 14 classifications, for optimal performance, a best practice is to keep classifications limited to 10 or less. Within those 10 classifications, you can select as many sub-classifications as needed.
Will learning plans be linked to Dynamic Groups update automatically too?
Yes. Any Learning Plans or assignments tied to a Dynamic Group will update as the group membership changes—adding or removing users as appropriate.
Can I preview which users will be part of a Dynamic Group before saving it?
Yes. A real-time preview is available while setting up the rules so you can see exactly which users will be included based on current data. Our How to Create a Dynamic Group article gives you step-by-step instructions and includes how to view Users during the addition and deletion of classification rules.
What happens if the HRIS feed fails or is delayed??
If the data feed fails, Dynamic Groups will not update until the data is synced again. It’s important to ensure regular and accurate data integration.
