Dynamic Groups includes four integrated features that enable complex configurations to improve efficiency, enhance the accuracy of group membership, and reduce administrative overhead by eliminating manual adjustments or static exclusions. These enhancements provide flexible, powerful filtering options that drive greater adoption and satisfaction. Below is a description of these features with examples.
Rule Features
Rules define group membership criteria. While up to 14 classifications are supported, limit to 10 or fewer for optimal performance. Sub-classifications can be added as needed. Refer to How to Create a Dynamic Group for step-by-step instructions.
Note: Silver to Platinum admins cannot exclude worksites. Diamond admins can create groups without selecting worksites and apply worksite exclusions.

How It Works |
Precondition Filter |
A precondition filter narrows down the employees before applying group rules. This precondition filter is not required, and can be excluded from your dynamic group. The Precondition Filter currently filters for Date of Hire. Example: You want to create a Dynamic Group for employees hired within a particular window. You use the precondition filter to limit employees hired from January 1, 2025 to June 30, 2025. As a result, only users hired between these dates are included: Using the To / From Date Options:
|
Inclusion |
Referred to as "Who are also in" — Specifies additional groups or classifications whose members should be included in your Dynamic Group. Example: You create a Dynamic Group with membership rules Worksites, Departments and Employment types that include users for the Austin and Dallas Engineering departments who are also Full Time and Temp employees: |
Exclusion |
Referred to as "Who are not in" — Specifies groups or classifications whose members should be excluded from your Dynamic Group, even if they meet other inclusion criteria. Example: You create a Dynamic Group with membership rules Worksites, Departments and Employment types that include users for the Austin and Dallas Engineering departments who are not Temp employees: |
Drill Down |
Referred to as "Who are within". Allows you to create a group using filters within previous groups selected. Manager will automatically filter sub groups, as indicated by the membership counts seen in the image below ad the Show all results toggle in the defaulted OFF position. To view all sub-groups membership counts, toggle the Show all results button to ON. |
Example Scenarios of Inclusion/Exclusion Logic
Below are some example scenarios of when you might use inclusion and exclusion logic. These are not intended to cover all possible scenarios or configurations, as each organization may require different combinations based on its unique needs. As a best practice, start by defining who needs to be included in the dynamic group.
Goal |
Rule Type |
Logic |
| All employees in the North America region who are supervise at least one employee. | Inclusion | Include appropriate regions (Canada, Mexico, US) AND job title (Manager, Supervisor, Sr. Manager, etc.) |
| Production employees who are on any shift but are full time only. | Exclusion | Include department (Production) NOT part time. |
| All frontline workers who are active, on a leave of absence but full time only. | Exclusion and Inclusion | Include front line worker job titles (Packer I, Packer II, etc.) NOT Archived status, AND full time time type. |
Logic Sheet
The downloadable logic sheet for building your rules gives you a clear, step-by-step way to define who should be included and who should be excluded in your Dynamic Groups. It helps you break down complex filtering into simple choices, so you can create accurate groups without needing to start over. By using the sheet, you save time, avoid mistakes, and ensure your groups reflect your organization’s real needs. In short, it helps you build rules with confidence and consistency.
