How to Create an Observation

Note: A Silver + admin with Coach admin add-on is able to create an observation, refer to our Access Levels article for more details. 

Create an Observation

1. In Manager, navigate to Activities and select Observations.
2. Select the "+" button to create a new Observation.
   
3. Fill in ALL required fields. All required fields are indicated by an asterisk. 
   • Type in a name in the Observation title text box.
   • Select the language.
   • Select the Worksite, multiple worksites can be selected.
4. Optional Fields:
   • Choose a Parent Course (Recommended to leave "Automatically create a new parent".
   • Choose a Category after adding the observation.
     • The observation will be added to the Company-Specific Category unless changed here.
   • External ID
     • If the Observation is meant to align with an existing training requirement, such as an Observation that is already tracked in a separate system, enter an identifier in the External ID text box to relate the Observation to the external training requirement.
5. Select Add.
6. The screen will refresh to the details page with versions of the observation.
7. Select New Draft to start a draft of the observation. 
   

Observation Settings

1. Before adding sections and questions to your draft, click on Settings icon in the top right corner of the screen. 
2. Configure the following Observation settings.
   • Observation Instructions: These are the instructions that appear in the coach app before launching the observation.
   • Grading Options:
     • Select Automatically mark to have the observation marked compliant based on the passing percentage automatically. Percentage can be changed. 
     • Select Manually mark to have the coach mark the employee compliant or non-compliant manually.
   • Limit users per session: Set the maximum users that can be observed at one time. 
   • Checkboxes:
     • Allow the coach to enter Root Cause Analysis notes. 
     • Require the coach's signature.
     • Require the employee's signature.
3. Configure the following Completion settings.
   • Completion message: A message that appears after a compliant observation is completed.
   • Corrective action: Require follow-up action if an observation is non-compliant.
   • Positive reinforcement: Require the coach to relay a positive message if an observation is compliant.
4. Select Save.
   

Draft Section

After saving your observation settings, build your observation by adding sections and questions to your draft.

1. Select Add Question to add a question to the existing section.
   
2. Select a question type from the drop-down menu
   • Note: The question type can be changed once it has been chosen and will keep the question text. For information regarding each question type and scoring, refer to our Observation Question Types article.
     
3. Type in a question and answers.
   • Enter optional instructions, tips, or resources in the Question Notes field. This field should provide additional clarifying information for the Coach who is performing the Observation. It is not a required field, so if you do not have any clarifying notes for the Coach then you can leave the field empty. 
4. Select the Add button. Repeat steps 1-3 to add additional questions.
    
5. To add Sections, select Add Section.
   
   • A section is a tool to help you organize questions
6. Type in a title for the section and select Add. You will see the section added to the screen.
   
7. Continue adding sections and questions to build your Observation.
8. To change the title of a section or question, select the pencil icon. 
9. To delete a section or question, select the trash icon. 
10. To reorder a section or question, drag and drop the 6-dot icon to the left of the column.
    

Saving the Observation

1. If not ready to publish, select the SAVE & CLOSE button at the bottom of the screen.
   
2. The screen will refresh showing the observation draft under the Draft version heading. 
3. Click on Edit to make changes or to publish the observation.
   

Publishing the Observation

1. If ready to publish, open the observation draft and select the Publish button at the bottom of the screen.
   
2. Click on Publish to confirm that you'd like to publish the draft.
   
3. The screen will refresh showing the observation listed under the Published to Alchemy Coach heading.
   
4. The Observation will be available in the Coach application after you Sync the Coach device with Manager.
