Email Notifications for Administrators

User Training Emails

To receive email notifications the user must have an active e-mail address associated with their user profile in the Alchemy Manager website. The e-mail address can be a personal or work e-mail, as this is not monitored by Alchemy. For information on how to do this, see User Profile. 

Email Notifications When Trainings are Due

Receive daily email notifications for your assigned Learning Plans and Job Qualifications.

Note: Notifications for Learning Plans begin 10 days before the due date, and continue until the end of any extended late completion window, if applicable. For job qualifications, you will receive notification when they will expire within 10 days or have expired in the past 10 days.

1. Navigate to to the profile of the Learner who needs to receive notifications (or to your own profile).
2. Check the box in the Properties tab that says “Daily Summary when training is due within 10 days”.
   
3. Select SAVE.

Email Notifications When Trainings are Assigned

Receive email notifications to stay informed about new trainings and/or job qualifications assigned to you.

Note: For Learning Plans, the timing of these notifications is determined by the assignment date of the Learning Plan. For instance, if the Learning Plan is already in progress and you are newly assigned, you will receive an email the next day. If the Learning Plan has yet to start, you will receive an email on the plan's scheduled start date.

1. Navigate to the profile of the Learner who needs to receive notifications (or to your own profile)
2. Check the box in the Properties tab that says “Notification when new training is assigned”.
   
3. Select SAVE.

Emails About Other Users

Email Notification of Users with Incomplete Learning Plans

Receive daily email updates on the status of users with incomplete Learning Plans assigned to them, starting 10 days prior to the due date and continuing until the end of any extended late completion window, if applicable.

1. Navigate to the profile of the administrator who needs to receive notifications (or to your own profile)
   • Administrator must have Copper, Silver, Gold or Platinum access. (Note: Diamond Admin access is excluded)
2. Check the box in the Properties tab that says “Daily summary when training is due within 10 days for users in the admin’s worksites/groups”.
   
3. Select SAVE.

Email Notification of Users with Expiring Job Qualifications

Receive daily email notifications providing updates on users whose Job Qualifications are nearing expiration or have recently expired. Users approaching the expiration date will be listed in the email starting 10 days prior to the Job Qualifications expiration date, while users who have recently expired will be included in the email for 10 days following the expiration date.

1. Navigate to the profile of the administrator who needs to receive notifications (or to your own profile).
   • Administrator must have Copper, Silver, Gold or Platinum access. (Note: Diamond Admin access is excluded)
2. Check the box in the Properties tab that says “Daily summary when job qualifications are expiring within 10 days for users in admin's worksites/groups”.
   
3. Select SAVE

Note: If there is a significant amount of data in the email notification, you may need to click the link to view more detail in Manager.

Timing of Automated Training Emails

Each type of training email is managed by its own daily process. These daily processes run once every day, though the exact timing may vary based on system load or scheduled maintenance. For assigned Learning Plan notifications, emails are only sent if the plan was either subscribed to or started within the past 24 hours—this helps avoid sending reminders for old or inactive plans. 

If email notifications are not being received, please verify that they are configured correctly using the instructions above.
